Lesson 4 of 10 · 6-minute read

Summarise meetings, documents and voice notes

Turn a long report or scattered notes into clear decisions and actions.

Goal

Use AI to extract the essentials from long material and turn them into an action plan.

Forty-page reports, long WhatsApp threads and handwritten meeting notes can be useful places to start saving time with AI.

Specify the summary you actually need.

Too vague“Summarise this document.”
More useful“Summarise this report for my director, who has two minutes: three key points, one risk and one decision to make.”

From meeting to action plan

Here are my rough meeting notes: [paste your notes]. Turn them into: 1. Decisions made 2. An action table: action / owner / deadline 3. Unanswered questions If information is missing, such as an owner or date, write “to be confirmed” rather than inventing it.

The last sentence helps discourage invented details. You still need to check the result against your notes.

What about voice notes?

Some assistants accept audio files or transcribe speech. You can also use your phone's dictation keyboard and paste the text. Audio usually uses more data than text; check whether your dictation tool works offline.

A privacy check

Before pasting a document, check for confidential material, personal data and internal figures. Use only information permitted by your organisation and remove identifying details where appropriate (see lesson 8).

Today's challenge

Take notes from a recent meeting, or a long message you received. Use the prompt above to create an action table, verify it, and share it with the relevant people.
